CertChase helps anyone with a sub list — GCs, plumbing, electrical, roofing, and other trades — stay on top of certificates of insurance (COIs) and contractor-qualification portal paperwork.
We handle the paperwork and follow-up so your team can keep work moving. You remain the account owner; we organize the facts, chase missing documents, and prepare drafts for your review.
For anyone with a sub list — GCs, plumbing, electrical, roofing, and other trades:
Build or clean up a vendor COI tracker
Identify missing, expired, or soon-to-expire certificates
Send professional follow-ups to vendors, brokers, or designated contacts
Track responses and flag common gaps for your broker or internal reviewer
Escalate nonresponsive vendors according to your instructions
For teams using ISNetworld, Avetta, Veriforce, PEC, or similar owner/GC qualification systems:
Initial account and deficiency review
Plain-English action list and document organization using information you provide
Drafting and submission preparation
Expiration reminders and status tracking
Every submission is prepared from your information and requires your review and approval before it goes live.
We do not create safety programs, training records, certificates, or attestations that do not exist.
Quick fit check — Tell us whether you need COI chasing, portal paperwork, or both; roughly how many vendors or portals are involved; and whether there is a real deadline.
Secure intake — We collect only what is needed for the agreed scope. Do not send passwords or sensitive credentials by email.
Track, chase, and prepare — We create a clear status view, follow up on missing items, organize materials, and prepare drafts within scope.
You review and approve — You or your authorized representative confirm the facts before anything is submitted or changed.
Maintain visibility — On an ongoing plan, we monitor agreed items, send reminders, and flag changes or open issues.
COI chase-as-a-service (monthly, based on active vendor count and follow-up required):
Up to 25 active vendors — $399/month
26–75 active vendors — $499/month
76–150 active vendors — $649/month
More than 150 vendors — custom scope and quote
Portal paperwork support:
$149 checkup — one-time paid diagnostic
$749 setup — one-time
$199/month — ongoing maintenance
Pricing assumes a defined vendor list, normal business-hours follow-up, and one primary status tracker. High-volume, multi-entity, urgent, or materially different projects may require a custom quote. Work begins after scope, client approval, and payment terms are confirmed. No plan guarantees a grade, approval, bid award, insurance acceptance, or owner/GC decision.
Construction-aware administrative help, without pretending to be your safety department. CertChase is operated by Adam Emerson, who understands that missing paperwork can create real friction for field teams, office staff, and bid timelines. The focus is practical: keep a clean list, identify what is missing, follow up consistently, and make the next action obvious.
No inflated case studies. No invented testimonials. CertChase is not an insurance broker, safety engineer, PE, lawyer, safety officer, or portal owner.
You remain the owner of your portal accounts and business records. We do not ask for passwords in ordinary email. Access should be limited to the minimum necessary and removed when work ends. We use your facts and documents; we do not invent records or alter facts to improve a score. Drafts and submissions are subject to your review and approval.
CertChase provides document administration, certificate-of-insurance (COI) follow-up and collection, and optional prequalification portal paperwork support only.
What we are not. We are not an insurance broker; no carrier recommendations or rate shopping. We are not your insurance broker, insurance carrier, lawyer, safety engineer, professional engineer (PE), safety officer, compliance authority, or HR provider. Nothing on this site is legal, insurance, safety, medical, or compliance advice.
COIs. We track expirations, request current certificates, and organize what vendors and brokers send. We do not bind coverage, renew policies, change policy terms, or guarantee that a certificate will satisfy a hiring contractor’s or owner’s requirements. Certificate issuance is controlled by the insured’s broker/carrier. Coverage and additional-insured/waiver language remain between you, your vendors, and your insurers.
Portals (ISNetworld, Avetta, Veriforce, PEC, and similar). We help organize documents and draft questionnaire answers from information you provide. You (or your authorized officer / safety lead) remain the account owner and are solely responsible for reviewing and approving every submission before it is finalized or submitted. We do not sign affidavits or electronic attestations in your name.
What we will not do. We will not create, fabricate, or certify safety programs, JSAs, training records, EMR/OSHA data, or insurance documents. If a host requires something you do not have, we flag it; we do not invent it. We may refuse or stop work if asked to skip your approval or to submit false information.
No guarantees. We do not guarantee any grade, score, approval, bid award, insurance acceptance, deadline, mobilization, or owner/GC/host decision. Portal operators, hiring clients, insurers, and regulators set their own rules. Our services are best-efforts administrative support.
Your responsibility. You warrant that facts and documents you supply are true, complete, and current to the best of your knowledge. If information supplied to us is incomplete or inaccurate, that risk remains with you. Use of any status board (green/yellow/red or similar) is a paperwork-status tool, not a safety clearance or permission to mobilize.
Access. Prefer shared folders, email CC, or guest/portal access you control. Do not send passwords by email. You may revoke our access at any time.
